Elections Committee (EC)

The Election Committee (EC) prepares for the regular bi-annual elections of committees of which the members must be elected by the General Assembly, specifically members of the Board (minimally 5; preferably 11) and members of the Financial Review Committee (minimally 2).

The EC shall also arrange for any elections other than the regular bi-annual elections that must be held according to the Statutes following the departure of one or more members from the Board or the Financial Advisory Committee. The process for such elections shall be comparable to the process for bi-annual elections, except that all voting shall be done electronically and the process shall be accelerated as much as possible.

Functions:

1. Seek nominations for these positions (initiate at least 6 months prior to the upcoming elections; includes general invitation to (self-)nominate to be emailed to all IDEALS members with explanation of descriptions and any relevant conditions)

2. Evaluate all candidates (complete 2 months prior)

Note: According to the Statutes, nominations and self-nominations shall be forwarded to the Board no later than two months prior to the next business meeting of the General Assembly. The Board decides whether to propose the nominee as candidate to the General Assembly for election.

3. Propose a list of candidates to the Board and obtain Board approval - when applicable - for the final list of candidates to be mailed to all IDEALS members (complete 6 weeks prior)

Note: According to the Statutes, if a nomination or self-nomination is supported by no less than 10% of the members of Society and if the (self-)nomination with the signatures of the required number of members arrives two months in advance of the date of the proposed General Assembly meeting, the nominee shall automatically be a candidate for office.

4. In the mean time, obtain biographical information about all candidates on the final list and prepare for electronic voting (with the assistance of the webmaster) (complete 6 weeks prior)

5. Organize electronic voting for members NOT attending the upcoming congress (with the assistance of the webmaster; complete voting 1 week prior)

6. In the mean time, prepare printed ballot, to be used during the GA meeting. Bring sufficient copies to GA meeting (complete 2 weeks prior)

7. Compile tally of electronic votes (complete 1 week prior) and bring to GA meeting

8. During the GA meeting, Chair of Committee or his/her delegate introduces candidates for all positions and explains the voting process, and proceeds with the elections.

9. Two members from the Committee shall count the votes and add the to the electronic tally.

10. The Chair of the Committee or his/her delegate announces the outcome of the vote

11. The Chair assures the updating of the website to reflect the new Committee membership

Membership:

The Committee shall be chaired ex-officio by the IDEALS President, unless a more urgent committee (such as a Congress Organizing Committee chairmanship) precludes him/her from assuming this task. In that case, the Committee shall be chaired pro tempore by another IDEALS Board Member who is not him/herself eligible such as the President-Elect or a Board member who is serving a non-renewable second 4-year term or has indicated that (s)he will not seek another term. The membership shall include at least one other Board member whose is not him/herself eligible during the upcoming elections, and at least two other IDEALS members in good standing who do not serve on the Board or the Financial Review Committee. If any of the latter two individuals is (self)nominated for a function on the Board or the Financial Review Committee, and if this member accepts the nomination, he/she shall relinquish his/her membership on the Committee and be replaced by a new member. Members to this Committee are appointed by the Board for a renewable staggering term of 4 years.
